Vishal Dhawan, CEO and founder of Plan Ahead Wealth Advisors and a Securities and Exchange Board of India-registered investment advisor (Sebi RIA) said that in order to understand the key financial records families should maintain, it’s important to understand the categories first, namely tax, insurance, investments, and so on.
“Families should maintain important financial records across categories, such as insurance, identity documents, investments, tax records, loans, property papers and estate documents,” he says.
By keeping them organised and accessible, families and individuals can handle emergencies better and make informed financial decisions when required.
According to Dhawan, these are the important financial records every family should keep updated:
1] Insurance Papers You May Need During Emergencies
Insurance records matter because they show the financial protection a family has during emergencies. These can include health, life, motor and other insurance policies. The policyholders should check details, such as coverage, nominee information, policy status, premium payments, renewal dates, and contact details to ensure that the records are accurate.
2] Documents That Prove Your Identity
Identity documents play an important role in financial and official work, from opening bank accounts to making investments. You should ensure details, such as name, address, photograph and other personal information remain accurate in Aadhaar, Permanent Account Number (PAN), passport and driving licence.
3] Records That Show Where Your Money Is Invested
Investment records contain details of a family’s savings and investments across different financial instruments. The records related to Employees’ Provident Fund (EPF), Public Provident Fund (PPF), National Pension System (NPS), mutual funds, demat accounts and deposits should be reviewed regularly so that investment details, nominee information, and account records remain up to date.

While maintaining these records is important, Dhawan suggests reviewing them at regular intervals. He said that investment documents and loan details should be reviewed every six months, while insurance and tax records should be reviewed annually. Identity documents can be checked every 2-3 years and Will and power of attorney documents every 3-5 years.
Apart from reviewing these records periodically, families should also ensure that important financial information remains accessible to the right people during emergencies.
Dhawan says families should create an inventory sheet of important financial records and share the latest version with close family members.
“They can also use digital platforms like DigiLocker, explore account aggregator services, and ensure trusted family members have access to necessary details, including phone and email credentials, during emergencies,” he adds.
